COE domain Student Account Policy

This is the account removal and archival policy for all student accounts on the College of Engineering Windows systems, also known as COE accounts.

Accounts are created for students who are currently enrolled Engineering studnets and non-Engineering students who are enrolled in an Engineering class. All public computers require an individual username and password. No generic accounts will be used.

Student accounts expire on the last day of final exams and are deleted.

The username will be the first 6 characters of your last name, followed by your first initial, possibly followed by your middle initial or a digit to maintain unique usernames system-wide. For example Jane User would have the username userj, while Joe D. User would be userjd.

The default password will be your first initial, last initial and the last 6 digits of your student ID (not your SSN!) For example Joe D. User with ID A23456789 will have the pasword ju456789. Note that the letters are lower case.

To change a COE windows domain password, press CTRL-ALT-DEL after logging in. Click on "Change Password", then follow the prompts on the screen.

UAH Engineering Computer Support Policies

Students may keep their engineering unix/email account for 150 days after they are no longer enrolled. After 150 days the account will be locked and removed. This limit is designed to accomodate students who may not be enrolled for a semester due to co-op, summer vacation, etc.

Accounts that remain unused for a period of 120 days will be locked.

Factors that may cause an account to be locked:

UAH students who are not Engineering majors but need an account due to enrollment in a specific Engineering course may have an account for the term in which they are enrolled in that Engineering course. The account will be terminated at the end of the term.

Faculty and Staff Account Policy

Engineering Email account: The Engineering email account for faculty and staff will be terminated three months from the effective date of separation. If the user desires, email will be forwarded for an additional three months after account termination.

Other accounts: Accounts for access to the windows domain (ECE accounts) and any other computer accounts maintained by the department will be terminated on the effective date of separation.

Backup Policy

This is the backup policy for al user accounts on the UAH College of Engineering Unix systems.

Backups of disks on key servers, including user data storage disks, are made solely for the purpose of disaster recovery, e.g. the loss of a disk drive or other hardware. User data is not archived!

Backups are made during early morning hours on weekdays.

In all cases the user is responsible for the safe archival of any personal data.

Email Account Removal and Archival Policy

This is the account removal and archival policy for all user accounts on the UAH College of Engineering Unix systems, also known as engineering email accounts or Sun accounts.

Accounts that remain unused for a period of 120 days will be locked. After a period of time (usually 30 days) the account will be removed from the system. This time period will vary, depending on factors such as system resource availability and the system administator's workload.

Account activity is determined by system access such as interactive logins, password changes, email access via POP or IMAP, etc.

Access of web pages associated with an account or email received or forwarded by an account do not qualify as activity.

Accounts may be locked sooner than 120 days if the user is no longer enrolled in Engineering courses at UAH (or employed by UAH, in the case of faculty and staff) or if the user is consuming an excessive amount of system resources.

Factors that may cause an account to be locked:

• violation of the acceptable use policy
• user is no longer enrolled (or employed)
• lack of use
• failure to respond to administrative messages about email usage
• failure to respond to administrative messages about disk usage
• failure to respond to administrative messages about password changes

In all cases the user is responsible for the safe archival of any personal data.

ECE domain Account Removal and Archival Policy

This is the account removal and archival policy for all user accounts on the Electrical and Computer Engineering department Windows systems, also known as ECE accounts.

Accounts are created for students who are enrolled in a class that requires access to an ECE lab computer. All ECE computers require an individual username and password. No generic accounts will be used.

User storage space (an "X drive") will be created only for those students who work in a lab that requires such storage. The purpose of this storage is to complete and turn in lab and homework assignments. Graduate teaching assistants and faculty have access to this storage. This storage is not backed up. Lab computer disk drives are not backed up. The user should archive any important data.

Student accounts expire on the last day of final exams and are deleted the following week.

In all cases the user is responsible for the safe archival of any personal data.

Use of Group Email Addresses

Use of group addresses on the engineering email server is limited to the members of that group and engineering faculty and staff. Any other use will be considered abuse and appropriate steps to stop the abuse and sanction abusers will be taken.

Use of Engineering Email List Server

The Engineering email list server is available to Engineering students, faculty, and staff for the management of email distribution lists. Department chairs may contact the email administrator (send email to service@eng.uah.edu) for the creation of lists to be managed by the email administrator. All other lists are managed by the individual requesting the list.

Some examples of lists that may be supported:

• students enrolled in a particular course and section (list managed by the instructor)
• formal student organizations
• informal student groups
